Who we are

This notice explains how Vintiqi collects, uses, stores and shares personal information when you use our website, send us an enquiry, send items to us, sell items to us, or communicate with us. We comply with UK data protection law.

The data controller is Vintiqi Limited, registered in England and Wales, company number 17504737, whose registered office is 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. You can contact us about your information at privacy@vintiqi.com.

What we collect, and where it comes from

We collect your name, address, email address and mobile number, and, if you give us a time for a call, that time. We collect information about the business between us: the items you send, valuations, offers, whether you accept or decline, payments, delivery, and our communications with you, including any complaint. We keep photographs and film of what you send. We collect the bank details we need to pay you, which we treat in confidence. We also collect technical information when you use our website, such as your network address and device.

To protect against fraud, money laundering and the handling of stolen goods, we may ask for proof of who you are. For a larger offer we ask to see a valid passport or photocard driving licence. We record the type and number of the document, who checked it and when. We keep no copy of it. We may keep records of the checks we make.

We collect it from you directly: on our website, when you send us an enquiry, when you send items to us, and when you accept or decline an offer. We also collect it from your box and our correspondence, and from the couriers and postal services that carry for us.

Why we use it

We use your information to provide our service: to post your pack, to value what you send, to make you an offer, and to return your items or pay you. This is so that we can enter into and carry out a contract with you.

We use it to verify who you are when an offer is above £2,500, to follow our anti-money-laundering duties, and to prevent fraud and the handling of stolen property. We use it to keep the records the law requires, for tax, consumer law and law enforcement. We use it to contact you, by phone, email or messaging, about your pack, your box and your offer. We keep a record of what we have said to each other, in case of a complaint or a question.

We send you marketing only if you have told us you want it. You can say no at any time.

Where we rely on legitimate interests, we mean: running our business properly, preventing crime and abuse of our services, keeping accurate records, being able to deal with a complaint, and protecting our customers and our staff. We always weigh these against your privacy and your own interests, and we keep what we hold under review.

Who we share it with

We may share your information with: couriers and postal services (a cheque we post counts here); payment and banking providers; address lookup and fraud-prevention providers; IT, hosting and security providers; communications providers, for email, telephone and messaging; professional advisers; and, where the law requires, regulators and law enforcement, such as the tax authority and the police. We insist that they treat your information as confidential. We do not sell your information.

If we sold or merged the business, the new owner would receive your information under this notice.

IT, hosting and security providers handle information in more than one country, under their own safeguards. Where any other provider handles it outside the UK, we make sure it has the protection UK law requires.

How long we keep it

We keep your information only as long as we need it for the reasons above. Our usual periods are:

Customer and transaction records: six years after our dealings with you end.

Tax records: six years.

Identity-check records, which are the record and not a copy of your identification: six years.

Bank details: only as long as we need them to pay you, and for a short time afterwards.

Photographs and film of what you send: with the record of your box.

Marketing records: until you cancel.

Backup copies: removed within six weeks.

Your rights

You may ask to see the personal information we hold about you. You may ask us to correct it, to erase it, to restrict how we use it, or to give you a copy in a form you can use. You may object to how we use it, and you may withdraw your agreement, for example to marketing. We reply within one month. To ask, email privacy@vintiqi.com.

Complaints

If you have a complaint about how we have used your information, please contact us first, so that we can try to put it right. You may also complain to the Information Commissioner's Office, at ico.org.uk/make-a-complaint.
